KSeF – what's changing and what you should know as an Eryk Sp. z o.o. employee

What is KSeF?

As of February 1, 2026, the National e-Invoice System (KSeF), a state-run platform for issuing, receiving, and storing domestic invoices, will come into effect in Poland.

What’s changing?

Every invoice from a Polish seller:

  • is entered into the KSeF system,
  • is assigned a number (QR code),
  • is visible to Eryk in this system.

What does this mean for your business purchases?

1️⃣ We still require a printout or PDF of the invoice

Although the seller is not obligated to print the invoice, remember to always request a printout or PDF.

2️ It is important that you provide two numbers to be included on the invoice

  • Eryk Sp. z o.o.’s Tax Identification Number (NIP) (8522425145)
  • Your unique employee ID (more on the topic later in the text)

⚠️ Without the employee ID, we will not be able to assign the invoice to you in the KSeF system.

Why is this so important?

If the ID is not provided to the seller and is not included on the invoice, then:

  • it will not be possible to assign the expense to the employee,
  • the settlement or reimbursement process will be significantly longer or even impossible.

Where do we start? – 3 simple steps

Step 1

You will receive your unique employee ID next week. REMEMBER IT!

Step 2

From the moment you receive it:

  • always provide your employee ID for business purchases,
  • make sure it’s included on the invoice or receipt.

Step 3

Submit documents to the finance department as before

📧 Expense form → documents@eryk.com

📧 Invoices by bank transfer → according to the current rules.

What is NOT changing?

  • Invoices from foreign suppliers will be settled as before, meaning they will not have a KSeF number (QR code) and you will not be required to provide your ID.

KSeF forces changes in document workflow and cost processes.

  • company cards settlements
  • other settlements
